Free operations guide
Give every captured request a clear next step.
Use this script and worksheet to review your own call process. You can print this page or copy the script into your operating notes. These are planning tools, not measured customer results.
A practical call intake script
“Thanks for calling [business]. I can take the details so our team can review your request. What can I help you with?”
“What name and callback number should the team use?”
“What service are you asking about, and where is it needed?”
“Is there a timing requirement or something the team should know before calling back?”
“Let me confirm the details: [read back the request and callback number]. I have recorded your request for review. [State only the next step your business has approved.]”
Ask only for details the business needs. Do not request payment-card numbers or unnecessary sensitive information. Avoid promising an appointment, dispatch, final price or callback deadline that has not been confirmed.
Before offering an urgent-call path
- Define urgent. Write down the situations your team treats as urgent and who owns those decisions.
- Name the responsible role. Assign a primary recipient and backup, with actual coverage hours.
- Decide the handoff. Specify whether the process creates a summary, alerts a person or transfers a call. Do not imply that these are interchangeable.
- Test failure handling. Decide what happens if the destination does not answer or delivery fails.
- Set truthful caller expectations. An urgent flag is not confirmed dispatch. Never position this intake flow as emergency services.
- Review follow-up. Track when the team received the request, acknowledged it, called back and recorded the outcome.

Missed-call contribution worksheet
Estimate a scenario with your own inputs. Contribution means revenue less the variable costs of delivering a job, before fixed overhead. Defaults are illustrative and are not typical results or a forecast.
Formula: missed calls × captured share × qualified share × job conversion share × contribution per job − monthly coverage cost.
With the illustrative defaults: 30 × 0.60 × 0.50 × 0.25 × $200 = $450 before coverage cost; $450 − $97 = $353 after coverage cost. Expected jobs may be fractional because this is a scenario model. Actual outcomes can be lower, including zero. Do not count existing customers, spam and duplicate requests as new revenue opportunities.
All calculation inputs stay in this page; they are not submitted or stored. A page visit may use the site's existing anonymous event tracking.
Turn the worksheet into a test.
Review a defined period of your own call logs. Separate new inquiries, existing customers, duplicates and spam. Track captured requests, completed callbacks, confirmed appointments and completed jobs as distinct stages. Compare consistent time windows before making a business claim.
